Privacy policy

This policy explains what personal data BrewQuote collects, why, and your rights. BrewQuote is operated by ARX Algorithms (“we”, “us”). Contact: support@brewquote.co.uk.

What we collect

  • Your business details you enter in the app, such as business name, contact details, logo, VAT number, UTR, prices and terms.
  • Your customers' details you enter to make a quote, such as name, address, phone and email. You are the controller of this data, and we process it for you to provide the service.
  • Voice notes you record to draft a quote. They're sent securely to our server and an AI provider to turn them into text and line items. We don't keep the audio after the quote is drafted, although our AI provider may hold it briefly (typically up to 30 days) for abuse monitoring under its own terms.
  • Quotes you send with a link, and your customer's response: viewed time, change requests, rejections, and for signed quotes the name, drawn signature, time, IP address and device type, kept as evidence of acceptance.
  • Subscription status from Apple or Google through our payments provider. We never see your card details.
  • Push notification tokens if you allow alerts.
  • Early-access sign-ups: your email, and your trade if you give it.

Why we use it, and the legal basis

  • To provide the app and the online quote pages (contract).
  • To keep a record of quote acceptance and signatures (legitimate interests, and to help you meet legal obligations).
  • To email you about launch if you joined the early-access list (consent: you can unsubscribe any time).
  • To keep the service secure and prevent abuse (legitimate interests).

Where it's stored and who processes it

Most of your data stays on your phone. Data that needs a server is stored with Supabase in London, UK. We use these processors: Supabase (database and functions), OpenAI (voice transcription and drafting), RevenueCat (subscriptions), Expo (push notifications) and Cloudflare (website hosting). Some processors may handle data outside the UK under appropriate safeguards such as the UK International Data Transfer Addendum.

How long we keep it

Linked quotes and signature records are kept while your account is active and for up to 6 years afterwards, in line with typical record-keeping needs for tax and contracts, unless you ask us to delete them sooner where the law allows. Early-access emails are deleted after launch emails are sent or when you unsubscribe.

Your rights

You can ask to access, correct, delete or export your personal data, object to or restrict processing, and withdraw consent. Email support@brewquote.co.uk. You can also complain to the Information Commissioner's Office (ico.org.uk).

Children

BrewQuote is a business tool and isn't intended for children.
